This guide provides a step-by-step walkthrough for exporting an invoice from WorkPal to Xero. Following this process will ensure your accounting records are accurate and up to date, streamlining your financial workflow.
Before You Begin
Before attempting the export, please ensure the following:

The Integration is Active: Your WorkPal and Xero accounts must be correctly integrated. This is a one-time setup that we will need to do on our end.
- Matching Records: The "organisation name" must match the organisation name in Xero with an identical name.
Step-by-Step Guide
Step 1: Locate the Invoice in WorkPal

Navigate to the Invoices section from the main menu.

Find and open the specific invoice you need to export. You can use the search bar to find it by invoice number, customer name, or date.
- If you are wanting to select multiple invoices simply use the tick boxes along the left handside of the invoice screen.
Step 2: Review Invoice Details
It is crucial to verify all invoice details for accuracy before exporting. Check the following:

Line Items: Verify all services or products listed, including descriptions, quantities, and prices.

Tax: Double-check that the correct VAT rate has been applied to each line item.

Total Amount: Confirm the final total is correct.
Step 3: Initiate the Export

On the WorkPal invoice screen, locate the Export to Xero button. This is typically found in the top-right corner or within an "Actions" dropdown menu.

Click the button to begin the data transfer to Xero. Once this has been done you will see the message below pop up on the screen.
Step 5: Verify the Invoice in Xero

Log in to your Xero account.

Navigate to Business -> Invoices -> Draft or Awaiting Payment.

Locate and open the newly exported invoice. The invoice will be displayed in the below format on XERO.

Carefully verify that all details—including the customer, invoice number, line items, and total amount—match the original invoice in WorkPal.
